TITLE
FACILITIES Coordinator
POSITION GOALS
To assist in the comprehensive facilities management on the Amazon Account. Delivery of services in accordance with the Amazon Management Agreement Facilities SOW’s, SLA and KPI’s. Support the Facilities Team in the implementation of key initiatives and projects.
DUTIES AND RESPONSIBILITIES
The Facilities Assistant must be a team player and work with other members of the team to meet all key performance indicators as set out in the management contract.
Facilities Operations
Assist in the implementation a comprehensive energy management program for your site(s)
Assist and monitor all janitorial activities to ensure the site is in tip top condition
Seek ways to constantly reduce costs and improve operational standards
Implement, comply with and audit all internal management systems, for quality assurance
Assist the Management Team with the coordination of Churn and other relocations activities as required
Space Management
Space and Headcount Data Collection and space assignment
Space Utilization Database Maintenance and Report
Key Management
Submit monthly report to client
PR Application /Payment
Be responsible for non-PO payment request as per client policy and JLL process
Track and supervise the good/service process and quality which raised by ad-hoc PO
Risk Management
Assist in the implementation and management of a property risk management program
Follow established escalation procedures and incident reporting procedures
Fixed Assets Management &Others
Make and update “Asset Inventory List”
Arrange supplier to repair damaged furniture
Back up stationery &car parking when they are on annual leave or sick leave
Check asset inventory and print & paste asset inventory labels
Reporting:
Provide input as required into the Monthly Report to Amazon
Active involvement in the monitoring and achieving the required Key Performance Indicators
Training:
Actively participate in all planned training activities
Leadership / Staff Management:
Actively support an environment that supports teamwork, co-operation & performance excellence within the onsite team
KEY PERFORMANCE MEASURES
Refer to the Individual Performance Agreement (IPMP) for Key Performance Measures.
Ensure the KPI Targets for the Account are met
COMPETENCIES
Interpersonal skills with a strong client focus.
Technical comprehension and experience with performance based service contracts and vendor management both soft and technical
University degree
Ability to work within a budget
Demonstrated initiative
Good communication skills in written and verbal English
Independent and Self Motivated
2 years facilities management experience or vendor management experience
