YOUR TASKS
Job Objective
Coordinating project teams (within the context of specified processes) for the optimum fulfillment and observance of quality, costs and deadlines, in order to achieve the integration of all those involved in the process chain and the fulfillment of targets, taking Hella’s procedures into particular account.
Improving structures, standards and transparency for branches worldwide.
Describing weaknesses in processes, working out sustainable resolutions and conveying the results as “lessons learned”
Preparing decision papers.
Harmonizing procedures in the process chain for selected sections.
Processing and coordinating projects to improve the logistic processes in terms of a continuous improvement process
Harmonizing, streamlining and standardizing the procedures in the process chain according to a lean-thinking strategy for a sustainable increase in efficiency and service.
Duties and Responsibilities
A. Project coordination
1. Complying with the quality, cost and timing (Q-C-T) targets specified by the client, using major result-securing methods (e.g. change management, scheduling, DMAIC, budget and capacity planning).
2. Applying the documented outline procedure (Hella Procedure [HP]) including defining work packages and carrying out reviews together with the superior.
3. Maintaining project documentation in order to achieve smooth project process flow and fulfill the specified objectives; assisting with the securing of planned costs, deadlines and resources, establishing key project data.
4. Assisting with securing the team’s fitness for work (utilizing potential and individual skills) bearing in mind specified resources and services that are to be included; independently resolving problems of all kinds, specifying countermeasures with the aim of reducing escalations.
5. Presenting reports of partial results to the clients in the agreed scope and at agreed times (according to Hella Procedures), in order to make the necessary information transparent for processes and decisions.
6. Informing and involving clients in situations that could endanger targets in order to achieve the necessary clarification and decisions, including preparing appropriate recommendations for action in agreement with the superior.
7. Supporting change management, in agreement with the internal organizational units responsible, in order to process incoming changes sustainably and as quickly as possible.
8. Monitoring the processes, tools and reports used in day-to-day business, indicating and initiating possible improvements, if any, plus providing specific feedback (lessons learned); and support for the development of new processes/strategies with the aim of securing expertise and competitive advantages.
9. Expediting CIP processes; using DMAIC to process errors and subsequently documenting them in NIS/ CMS.
10. Increasing the efficiency of existing processes and procedures; Analyzing and specifying cost structures and major costs; Carrying out profitability calculations for projects and their stated objectives.
11. Compiling surveys, including evaluating the results and deriving recommended courses of action, in consultation with the superior.
12. Supporting the prescribed projects with inter-departmental interfaces.
B. Project coordination
1. Assisting with developing, implementing and optimizing typical technical concepts along the process chain in close cooperation with internal specialist departments and international locations.
2. Redesigning, harmonizing and/or standardizing typical processes for the specialist departments, plus using project management tools to plan and control the corresponding roll-outs on site.
3. Assisting with carrying out analyses, preparing concepts and solutions, also during the subsequent implementation at Hella, subsidiaries and external partners.
4. Assisting with the organization and coordination of projects, as well as following up and planning sub-projects.
5. If necessary, guiding and coordinating project groups in the realization of projects, taking schedule-related and economic-technical solutions into account.
6. Checking and monitoring the results of individual project phases (project progress control), in comparison with the project order, as well as documenting the project.
7. Planning, carrying out, checking and optimizing efficient project controlling using project management tools.
8. Carrying out investigations and researching the actual status, preparing actual status analyses, carrying out risk analyses and test scenarios and preparing decision papers from them.
9. Preparing and implementing the results from the analyses as concepts, procedures and solutions.
10. Planning the necessary resources and carrying out capacity planning, including coordinating the employees and posts involved in the project.
11. Assisting the overall project manager with specific technical tasks and the project team with day-to-day project work, providing constructive assistance with the team’s problems in terms of tasks and creating concepts to assist with rapid solution finding.
12. Illustrating the differences between master plan and actual situation, as well as preparing a respective concept in agreement with the superior responsible.
13. Implementing the concept by adapting processes to existing procedures, oriented towards the master plan and coordinating the later implementation by key users.
14. If necessary, identifying and implementing rationalization measures within a specific area of responsibility.
15. Developing and preparing introductory strategies and preparing complete training and user manuals.
16. Instructing and training the organizational units affected by the newly introduced and/or modified tasks/areas of application, as well as providing support in the immediate future.
17. Drawing up alternative solutions in order to adapt current systems to new company situations and customer requirements.
