Job Overview:
The HR Assistant / HR Specialist will be responsible for managing all HR, administrative, and office operations for the China office. This role requires a hands-on, independent, and proactive professional who can operate with minimal supervision, handle vendors, customers and partners confidently, and help establish a solid HR and office foundation. The ideal candidate will be someone with strong initiative, sound judgment, and excellent interpersonal skills, able to manage people, processes, and priorities effectively while representing the company’s values and professionalism.

Key responsibilities:
Human Resources

Manage day-to-day HR operations and provide HR support to employees and managers.

Coordinate employee onboarding, induction/orientation and offboarding processes, ensuring a smooth employee experience.

Manage performance-related processes such as probation and confirmation processes, performance improvement plans, including tracking timelines, coordinating performance reviews and ensuring the necessary documentation is completed.

Execute the annual performance appraisal cycle, including communications, tracking and administrative support.

Support payroll activities, including providing payroll inputs, checking payroll calculations and liaising with external payroll providers/internal accounting team to ensure accurate and timely salary processing.

Administer employee benefits

Support the development of local HR policies and benefits aligned with corporate guidelines.

Drive employee engagement activities, company events and other employee initiatives.

Maintain accurate and up-to-date employee records and HR documentation.

Support mobility management for local and global travel of employees.

Handle employee queries and act as the first point of contact for HR matters.

Collaborate closely with other regional HR Specialists to roll out APAC initiatives

Support HR administration for Taiwan employees, where applicable.
Administration & Office Management
-
Manage day-to-day office administration and ensure the office operates smoothly.

Manage office supplies inventory such as stationery, IT devices, office equipment, and other general office items.

Manage office management matters, including office space and office facilities.
-
Track and review office-related invoices, including corporate phone, office rental and other operational expenses, and submit them to Accounting for processing.

Liaise with vendors and service providers on office-related matters, including quotations, contracts, invoices and service issues.

Provide support for customer engagement and administrative matters, including follow-up on outstanding invoices and coordination with relevant stakeholders.

Support internal administrative requirements and ad hoc business requests.

Manage and coordinate vendor administration, including documentation, communication and invoice-related matters.

Maintain appropriate records and documentation for administrative and operational activities.

Any other ad-hoc tasks assigned
Contract & Compliance Management

Manage all contracts related to employees, vendors, customers and office facilities.

Ensure timely renewals, proper documentation, and compliance with local regulations.

Support internal and external audits and ensure readiness of HR and compliance materials.
Requirements:
-
Diploma or Bachelor's degree in Human Resources, Business Administration, Management or a related discipline.

3-7 years of experience in HR operations, HR administration and office administration in the IT service industry.

Good understanding of China HR and employment practices, payroll, income tax, insurance and statutory requirements.

Experience working with external payroll providers, vendors, customers, tax advisors and/or legal counsel.

Strong organizational and administrative skills with good attention to detail.

Good interpersonal and communication skills, with the ability to work with employees and stakeholders at different levels.

Ability to handle confidential employee and payroll information with a high level of discretion.

Comfortable managing multiple priorities and working independently.

Good attitude, passionate and determined while appreciating teamwork.

Proficient in Microsoft Office, particularly Excel and Word.

Experience with SAP or other HRIS/ERP systems would be an advantage.

Fluency in Mandarin and English is preferred.
