- Collaborate with the event team to deliver on-site meetings or events services in accordance with the client's event services standards and processes under the leadership of the Event Services Manager.
- To be familiar with and execute and workflow of the procurement, warehousing, and materials required for venues and events to keep records of all processes and submit regular operational reports to the Event Manager.
- Support the Event manager to prepare the monthly event service report, verify the record and summarize monthly meeting service data and information provided to the Event manager, report problems, and provide solutions to clients and superiors in time.
Provide events set-up services for the client' whole HQ building and for approximately 200 annual events, events can encompass but are not limited to executive events, luncheons, training, receptions, and conferences. Duties include:
- Manage set-up/tear-down of furniture provided by the client (chairs, tables, sofas, boards, flip charts, table skirts, coat racks, stage, podiums, etc.) in the meeting rooms or open areas as requested (i.e. banquet style, stand-up reception, theater, conference room style, u-shape, classroom, and family style among others);
- Manage the set-up of flags as needed for visits by dignitaries from member countries, national days, etc., including pressing and maintenance of flags as needed.
- Place note pads, pencils, and water on tables as needed;
- In coordination with the seating plan, collect meeting or event-relevant printouts and set up event signage.
- Make set-up changes during events as called for;
- Coordinate with other service units involved in set-ups; for example, all furniture set-ups need to be done before the AV Team starts their set-up.
Support catering services if required.
Required Knowledge and Skills:
Good knowledge of MS Office software.
Excellent communication and coordination skills. Ability to confidently work through problems.
Genuinely service-oriented, team player, strong EQ, and highly willing to learn.
Well-organized, detail-oriented, multi-task, logical thinking, and trustworthy.
Good command of written and oral English and Mandarin.
Good language skills, clear diction, and good Mandarin expression; English communication skills for banquet and event reception working environment.
Carefully and meticulously, good understanding and comprehension, good at summarizing; quick thinking, a strong sense of responsibility, strong execution, and a strong sense of confidentiality.
Professional sense of service, and good communication and interpersonal skills, obey and execute the work assigned by superiors and clients.
Use polite language to receive customers with initiative, enthusiasm, courtesy, patience, and consideration.
React quickly and learn proactively problem-solving skills and timely completed tasks, high resistance to pressure.
Qualifications and Education:
Minimum of 2 years relevant experience.
Graduate from College or Bachelor's Degree.
Good at communication and issue dealing experience.
VIP reception and massive events/ activities are preferable.
Aged 25-35, in good health, physically fit, hard-working.
Good appearance, pretty, sweet voice, cheerful personality, smiling service, well-proportioned, no obvious tattoos or scars, non-exaggerated hair color, and haircut, no bad habits, and behaviors.
The Certificate of No Criminal Record and Health Certificate for the catering industry are must-haves.
