职位概述
作为综合设施管理(IFM)体系的关键一线岗位,本职位负责统筹办公楼前台日常运营,高效衔接外部物业管理方与内部员工/访客需求。需熟练处理门禁权限、公共区域报修、空调照明加时等大物业对接事务,同时全面负责办公室内部行政支持、访客管理、供应商协调及环境巡检等工作。此外,需专业接听总机电话,具备处理供应商(含服务类卖家)纠纷的流程执行能力,并严格遵循客户公司制度开展各项工作。岗位要求具备良好的英语口语沟通能力,以支持国际化办公环境下的多语言协作。
主要职责
一、大物业沟通与对接
- 作为公司与大楼物业管理方的主要联络窗口,协调处理所有物业相关事宜;
- 办理员工及临时人员的门禁权限申请、变更与注销,确保权限准确、及时生效;
- 提交并跟进公共区域(如大堂、电梯、卫生间、走廊等)的设施报修,推动物业闭环处理;
- 受理部门加班需求,统一向物业申请空调、照明等设备的延时使用服务,并确认执行情况;
- 及时传达物业通知(如停水停电、消防演练、施工安排等),并协调内部响应。
二、内部行政与办公支持
- 负责员工人脸识别系统的信息录入、更新与权限配置,保障门禁系统正常运行;
- 管理访客预约系统,审核预约信息,发放访客凭证,并做好登记备案;
- 提供专业、友好的访客接待服务,包括引导、通知被访人、提供等候区支持等;
- 统筹办公物料(如文具、打印耗材、茶水间用品等)的库存巡检与预定补给;
- 对接保洁、绿植、快递、饮用水、办公设备维保等日常服务供应商,监督服务质量;
- 执行办公室每日巡检(包括前台区域、会议室、茶水间、卫生间等),记录异常并协调处理;
- 监督保洁工作执行情况,按标准检查清洁质量,合理安排临时清洁任务。
三、电话接听与供应商纠纷处理
- 专业接听公司总机电话,准确转接、记录留言,并解答常规问询;
- 学习并掌握客户公司规定的供应商(含服务类“卖家”)纠纷处理流程,在发生服务质量争议时,按既定程序收集信息、初步沟通、上报并协助跟进解决;
- 所有操作严格依据客户公司的制度、SOP及合规要求执行,确保服务一致性与风险可控。
四、语言与跨文化沟通
- 具备良好的英语口语沟通能力,能流利应对外籍访客接待、国际供应商沟通及英文电话接听等场景。
五、其他职责
- 本职位描述所列职责并非详尽无遗。候选人须具备高度灵活性,根据现场设施管理经理的实际业务需求,及时承担并完成其他合理分配的相关工作任务,以支持整体IFM服务目标的达成。
任职要求
- 大专及以上学历,行政管理、物业管理、商务英语或相关专业优先;
- 1年以上前台、行政或设施管理相关工作经验,具备甲级写字楼IFM服务经验者优先;
- 熟悉办公环境常见设施(门禁、空调、照明、网络等)基本运作逻辑;
- 具备优秀的沟通协调与多任务处理能力,能高效对接物业、员工、访客及供应商多方;
- 工作细致、责任心强,具备良好的服务意识、应变能力及基础冲突处理技巧;
- 熟练使用Office办公软件及访客管理系统、工单系统等数字化工具;
- 具备实用型英语口语能力(可进行日常对话及工作沟通);
- 能适应弹性工作时间(如配合加班时段的空调加时服务)。
