General Services Manager I at Givaudan China – Your future position?
The General Service Manager is responsible for overseeing overall office administration and general services operations to ensure a safe, efficient, and professional working environment that supports business operations. This role manages facility operations, vendor services, workplace experience, administrative support, and team performance while ensuring compliance with company policies, EHS standards, and budget requirements.
Key Responsibilities
General Administration & Office Services

Manage daily office administration operations and ensure smooth delivery of administrative support services.

Oversee general office services, including:

Reception and visitor management

Office supplies and stationery management
-
Mail and courier services
-
Cleaning, landscaping, and pest control services

Pantry, cafeteria, and shuttle bus services

Visa and employee administrative support
-
Communication systems and office support services
-
Maintain a professional, organized, and safe office environment in compliance with company policies and EHS requirements.

Respond promptly and professionally to employee and visitor requests and continuously improve workplace service experience.

Prepare and communicate office-related announcements and internal notices.
Facility Management
-
Manage office facilities, equipment, and workplace infrastructure to ensure smooth daily operations and minimize business disruption.

Coordinate with engineering and maintenance teams to maintain office facilities in good condition.

Conduct regular workplace inspections and identify improvement opportunities or maintenance needs.

Drive continuous improvement initiatives for facility and administrative services to enhance operational efficiency and employee satisfaction.
Vendor & Procurement Management

Manage external vendors and service providers to ensure service quality meets company standards and agreed KPIs.

Collaborate with Procurement and IM&S teams on vendor selection, contract management, and purchasing activities.

Handle administrative PR/PO processes, including purchase requests, order processing, goods receipt, invoice verification, and payment tracking.

Manage procurement of office supplies, facility-related materials, and equipment while maintaining cost efficiency.
Event & Employee Support

Organize or support employee engagement activities, including town halls, team-building activities, annual events, and corporate culture programs.

Coordinate logistics support for meetings and events, including venue setup, catering, equipment, and reception arrangements.

Ensure all activities comply with company health, safety, and operational standards.

Support administrative budgeting, expense tracking, fixed asset management, and audit-related activities.
People Management

Lead, coach, and develop the general services and administration team to enhance service quality and operational capability.

Support recruitment, performance management, employee development, and team engagement initiatives.

Foster a proactive, customer-oriented, and collaborative team culture.

Your professional profile includes:
Education
1.Bachelor’s degree or above in Business Administration, Hospitality Management, Facility Management, or related disciplines.
Experience
1.10-15 years of experience in office administration, general services, facility management, or related functions.
2.Solid experience in workplace operations and multi-functional administrative management.
3.Experience in vendor management and cross-functional collaboration is preferred.
4.Prior people management experience is preferred.
