We are an eCommerce brand specialising in high-quality, eco-conscious consumer products. Our business sources from reputable manufacturers. We manage the full process – from supplier selection, price negotiation, and production management to quality control, logistics and supply chain efficiency.
We already have product vision, aesthetic direction and commercial targets set in Australia. What we need now is a China-based Sourcing, QC & Supply Chain Specialist who can help us find the right suppliers, manage factory communication, keep sampling and production moving, improve quality control, and create efficiencies across our China supply chain.
This is a hands-on role for someone who is comfortable visiting factories, checking samples and production quality directly, pushing suppliers, consolidating orders, improving shipment planning, and managing multiple sourcing/QC/supply chain projects from China.
Key Responsibilities
Supplier Identification & Vetting
Source, vet and onboard factories across China.
Conduct capability checks, audits, references and sample runs.
Conduct factory audits, in-person and remote, to confirm quality, production capability and reliability.
Compare factories based on quality, pricing, MOQ, communication, lead times, capacity and commercial suitability.
Build and maintain a reliable supplier network for current and future product categories.
Negotiation & Cost Efficiency
Request, review and compare supplier quotations.
Negotiate pricing, MOQs and timelines to hit commercial targets.
Secure cost efficiencies as order volumes increase.
Identify opportunities to reduce cost without compromising quality.
Keep clear records of supplier quotes, commercial terms and recommendations.
Sampling & Supplier Follow-Up
Manage sample requests and supplier follow-up.
Keep sampling moving quickly with clear communication and weekly updates.
Coordinate sample feedback between suppliers and our Australian team.
Ensure supplier revisions are clearly documented and followed up.
Escalate delays, quality concerns or supplier issues early.
Production Management
Oversee production timelines, ensuring orders are completed on schedule.
Monitor manufacturing processes to ensure consistent quality standards.
Track key production milestones, risks, blockers, delays and shipment readiness.
Coordinate with suppliers to resolve production issues quickly and transparently.
Quality Control & Inspection
Check samples and production quality directly, including finish, packaging, labelling, assembly and specification details.
Build and enforce QC systems:
golden samples
clear specs and critical quality requirements
inspection checklists
change control / no silent substitutions
pre-production, in-line and pre-shipment inspections
Arrange and/or perform pre-production, in-line and final product inspections.
Ensure final products match approved samples, specifications and packaging requirements.
Track defects, quality issues, corrective actions and supplier accountability.
Prevent unapproved changes to materials, components, finishes, packaging, suppliers or production methods.
Supply Chain & Logistics Coordination
Liaise with shipping and freight partners for efficient and cost-effective delivery.
Support shipment readiness, carton markings, packaging, labelling and export documentation.
Ensure correct packaging, labelling and documentation are ready before dispatch.
Coordinate supplier production schedules to improve consolidation opportunities.
Help consolidate orders from multiple suppliers where possible to reduce freight cost and improve efficiency.
Identify opportunities to streamline China-side supply chain operations.
Improve communication between suppliers, freight partners and our Australian team.
Track shipment readiness, delays, packing status and dispatch timelines.
Help create more efficient processes for repeat orders, supplier follow-up, inspections, documentation and dispatch.
Long-Term Relationship Building
Develop trusted, long-term relationships with key suppliers.
Act as a loyal representative of our brand to protect our interests at all times.
Maintain transparency, integrity and professionalism in all supplier dealings.
Requirements
Minimum 7+ years experience in sourcing, production management, QC, supplier management, supply chain or logistics coordination in consumer goods.
Proven track record of sourcing reliable suppliers and negotiating best prices while maintaining high quality.
Strong knowledge of:
supplier sourcing and factory vetting
production follow-up
QC and inspection standards
golden samples and approved specifications
packaging, labelling and export documentation
shipment coordination and order consolidation
supplier communication and issue resolution
supply chain efficiency and process improvement
Proven experience managing products from sampling through to production and shipment.
Existing strong network of reliable manufacturers in South China (Shenzhen/Dongguan/Guangzhou) or North China (Shanghai/Ningbo/Yiwu) is highly regarded.
Excellent knowledge of quality control, factory communication, shipment coordination and export documentation.
Strong integrity – must be loyal, transparent and trustworthy, with zero tolerance for kickbacks or side deals.
Ability to work independently while reporting regularly to our Australian HQ.
Strong English and Mandarin communication skills.
Comfortable travelling to factories frequently.
