Job Descriptions:
1.Be responsible for daily front desk reception, including guiding, registering and serving tea for visiting clients, partners and employee visitors, presenting a professional and rigorous corporate image of a foreign enterprise. Answer and transfer company calls, take detailed call records, and feed back important information timely to ensure efficient and smooth communication. 负责公司前台日常接待工作,包括来访客户、合作方及员工访客的引导、登记、茶水接待,展现外企专业、严谨的企业形象;接听、转接公司电话,做好来电记录,及时反馈重要信息,保障沟通高效畅通;
2. Maintain the tidiness and order of the front desk and reception areas, and organize periodicals, magazines and other materials regularly. Handle the receipt, registration, distribution and sending of company express deliveries, letters and parcels to ensure accurate and complete delivery of all materials.负责前台区域及接待区环境维护,保持整洁有序,定期整理报刊、杂志等物料;承担公司快递、信件、包裹的接收、登记、分发及寄送工作,确保各类物料准确无遗漏;
3. Assist the Administrative Manager in daily administrative affairs, including maintenance of facilities and equipment, procurement, registration, distribution and inventory management of office supplies, control office costs and ensure timely supply of materials.协助行政经理开展日常行政事务,包括设施设备维修、办公物资采购、登记、发放及库存管理,控制办公成本,保障物资及时供应;
4. Be responsible for the reservation, arrangement and post-meeting tidying of company meeting rooms, and provide conference support such as printing and distributing conference materials.负责公司会议室预约、布置及会后整理,配合完成会议支持,包括会议资料打印、分发等相关工作;
5. Assist in organizing various employee activities (e.g. holiday welfare distribution, public welfare activities, client appreciation events), including activity planning, material preparation and on-site execution.协助组织公司各类员工活动(如节日福利发放、公益活动、客户答谢会等),配合完成活动策划、物料准备及现场执行;
6. Sort, file and keep administrative documents to ensure standardized and accessible document management; assist in collecting and submitting administrative statements负责行政相关文件的整理、归档、保管,确保文件规范有序、便于查阅;协助完成行政报表的统计、上报工作;
7. Sort out and verify various administrative bills, confirm details with cooperative suppliers timely, process payment in accordance with the company's financial procedures to ensure accurate and timely payment, and file and keep bills properly负责各类行政相关账单的梳理、核对,及时与合作供应商确认账单细节,按公司财务流程推进账单付款事宜,确保付款准确、及时,并做好账单归档留存;
8. Cooperate with the Administration Department in other daily administrative work, assist in coordinating communication among departments to improve administrative office efficiency; complete other temporary tasks assigned by supervisors 配合行政部完成其他日常行政事务,协助协调各部门沟通衔接,提升行政办公效率;完成上级交办的其他临时性工作任务
Job Requirements
1 College degree or above; majors in administration, secretarial studies, business administration are preferred; candidates with relevant working experience as administrative assistant or front desk receptionist in foreign enterprises are preferred 大专及以上学历,行政、文秘、工商管理等相关专业优先,有外企行政助理、前台接待相关工作经验者优先;
2 Pleasant appearance and good manners, strong affinity, excellent communication and service awareness, able to represent the professional reception image of a foreign enterprise 形象气质佳,举止得体、亲和力强,具备良好的沟通表达能力和服务意识,能展现外企专业接待形象;
3. Meticulous and responsible work attitude, strong execution and stress resistance, organized, able to efficiently complete various temporary tasks工作认真细致、责任心强,具备较强的执行力和抗压能力,做事有条理,能高效完成各项临时性工作
4.Standard and fluent Mandarin, proficient in English listening, speaking, reading and writing 普通话标准流利,具备良好的英语听说读写能力;
5. Skilled in using Office software (Word, Excel, PowerPoint, etc.), able to independently complete document editing and statement statistics; possess basic official document writing skills 熟练使用Office办公软件(Word、Excel、PowerPoint等),能独立完成文件编辑、报表统计等工作;具备基础的公文写作能力;
6. Good team work spirit, able to actively cooperate with the other departments to complete relevant work and take the initiative to connect demands 具备良好的团队协作精神,能积极配合其他部门完成相关工作,主动对接需求;
